TITLE: Maintenance Coordinator – 1st Shift

DEPARTMENT: Maintenance

OCCUPATIONAL SUMMARY:

The Maintenance Coordinator serves as the primary administrator of the Computerized Maintenance Management System (CMMS) and a critical support role for maintenance operations. This position is responsible for maintaining the integrity of CMMS data, supporting procurement and kitting activities, and facilitating job readiness for planned maintenance work.

The Maintenance Coordinator ensures timely digitization of documentation, manages visual asset records, and assists with reporting and scheduling support. This role bridges maintenance execution and planning, helping to optimize asset reliability and operational efficiency under cGMP requirements.

Responsibilities

• Responsible for overall data integrity of the CMMS system and assuming responsibility for supporting the Maintenance team, overseeing proper system use and configuration to meet internal and site objectives.

• Data entry of information to create, build and maintain the CMMS database and task library.

• Maintain CMMS and change order log/Change Management System. Assist in coaching CMMS users on change management processes and requirements.

• Perform routine CMMS administration tasks, including managing and adding user accounts, security profiles, adjusting PM schedule, modifying asset data, etc.

• Provide new user training, advanced user training, and continuous education training for the Maintenance staff as required.

• Prepare required system reports for weekly, monthly, and quarterly reporting.

• Responsible for technical support of the CMMS and primary interface between the plant and the

CMMS provider.

• Support the Maintenance Supervisor and Buyer in identifying and documenting parts requiring procurement, ensuring timely communication and CMMS updates to reflect open needs.

• Collaborate with the Maintenance Buyer to facilitate kitting activities, including assembly, labeling, and proper storage of maintenance kits.

• Serve as designated coverage during planned absences to the Maintenance Planner/Scheduler, assisting with work order prioritization, weekly schedule preparation, and job packet distribution as needed to ensure continuity of maintenance planning activities.

• Serve as designated coverage during planned absences to the Maintenance Buyer, including PO assignment, vendor follow-up, and coordination of material availability to maintain uninterrupted procurement operations

• Digitize & archive maintenance documentation including, but not limited to, P&IDs, schematics, OEM manuals, and job plans.

• Assist in the cataloguing and photographing of new and existing assets & stock parts.

• Perform other related duties as required.

PHYSICAL REQUIREMENTS:

Requires moderate lifting.

QUALIFICATIONS:

• Requires a High School diploma or the knowledge gained through an Associate degree in a business or management related field.

• Administration support role in a maintenance environment.

• CMMS platform experience
